Sales Coordinator

The Sales Coordinator provides administrative support to the Sales Department in order to achieve budgeted room revenue and annual sales goals.

Key Responsibilities

  • Support the day to day activities of the Sales Department
  • Identify prospective leads
  • Handle all incoming leads
  • Prepare and execute contracts.
  • Ensure a timely response and follow up for leads with existing and potential clients
  • Handle customer questions, complaints and handle all service issues politely and efficiently.
  • Make outside sales calls and handle sales calls to key accounts or major prospects.
  • Monitor sales activities/performance in order to ensure revenue goals meet or exceed established plan and accurately reports variances/projections to management.
  • Assist in developing plans to increase market share
  • Report call productivity and goals negotiates as well as key contracts with customers
  • Develop and maintain relationships with key clients, organizations and brand partners in order to maximize sales and customer service.
  • Develop strong product knowledge of hote (amenities, services etc.).
  • Develop strong working knowledge of hotel systems PMS/CRS.
  • Have excellent knowledge of hotel rates, strategies, discounts and promotions.
  • Develop working knowledge of competitive set to understand how to overcome objectives.
  • Develops strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
  • Work with sales team to achieve set sales team goals (Entertainment, Corporate, Group and transient).
  • Answer sales office phones. Respond to all sales inquiries (phone, email, fax, web) accurately, timely and in a professional manner.
  • Handle client needs, provide conference servicing to assigned groups, respond to client and report back to the appropriate manager.
  • Work closely with other hotel departments to ensure customer service is intact.
  • Be responsible for effectively communicating with the various departments to ensure that the customer service and related events exceed the client’s expectations.
  • Prepare correspondence, reports and necessary forms i.e. business contracts, proposals, group turnovers, or other letters as directed.
  • Maintain well documented up-to-date file management in order to serve client and employer in the most expedient, organized and knowledgeable manner.
  • Assist with market research to identify opportunities, need dates and demand generating events.
  • Assist with site inspections, property tours and client entertainment.
  • Assist with completing any required sales reports.Manage daily calendar appointments to assist with site tours, client entertainment and other such functions. Work closely and effectively with all hotel staff
  • Create programs and procedures to maintain and improve business efficiency

Requirements

  • Computer efficiency: Microsoft Office, Excel, Word, Power Point etc.
